HLS Request Booking | 2020 UN BIODIVERSITY CONFERENCE

This section is designed for groups who wish to reserve housing for COP15 in December 2022 in Montreal.

At any given time, you may save your booking request form and come back to it by scrolling to the bottom of the form and clicking on the save button. All group bookings will be treated on a first come, first served basis so it is important to complete and return the form as soon as possible.

All room blocks will be invoiced as one group and not individually.

If unable to complete your selection of 3 properties at this time you can always save your form at the bottom of the page and return to the Hotel Catalog to assist you with your selection.

If certain delegations or groups require different arrival and departure dates during the summit, please create different room blocks. This will allow us to better manage our hotel inventory. In the next step you can create subgroups depending on different arrival and departure dates.

The housing department will treat your request promptly. Once your request is received, we will secure your hotel, and send you a detailed contractual agreement. Please have it signed and returned to us within 7 days of receipt. Once the signed contract has been received, an invoice for the 1st deposit representing 50% of the value of the booking will be sent. The 1st deposit is payable according to the deadline mentioned in the contract. Once received your group is confirmed. Once the deposit is received by our housing department your rooms will be confirmed with the hotel. Please note that the final payment will be due by November 1st 2022.

Step 4 : Booking conditions

Once your group is CONFIRMED a link to your secured portal will be sent. In this portal you will be able to add participant names and other information.   

A 50% non-refundable deposit is due by September 15th, 2022. Once received your group is CONFIRMED.
A 10% reduction of the original number of confirmed rooms is possible at no cost before November 1st, 2022.
Hotels have various Force Majeure conditions; information will be included in your contract.
The rooming list and final payment are due by November 1st 2022.
 Name changes are permitted until 72 hours prior to arrival.
Any additional room requests must be paid entirely upon confirmation
Early departures are non refundable.
All payments must be made by bank transfer. Banking details will be provided with your invoice.

Access to your group booking through a secured portal will be provided to the contact person on file after receipt of the signed contract.

Our Housing desk is open Monday to Friday from 8:30 am to 4:30 pm (EST).
